Many business owners have one main challenge in common. This big hurdle is none other than finding the time in the business day to get all the tasks done. Even the biggest and successful businesses lack a full budget, resources and/or time to get all the daily tasks and operations done.

A lot of business owners will agree it isn’t easy to get everything done and hence they have a tough time deciding what to take on and what to sacrifice. There is always delegating or outsourcing work but almost all businesses need to prioritize to be more effective and productive during the business day.

There a few guideline questions I use to evaluate what tasks I should take on during the day and what I should pass on.

  • What is the biggest impact on my day?
  • What will generate profits and revenues from my tasks?
  • What task has a high success factor on performance?
  • What has a high reward to low risk ratio?
  • What will take up most of your time and what will free it up your time?
  • What will bring you closest to your goals and what tasks will help you achieve it?
  • What opportunities and possibilities will your task bring you?

At the end of the day you want to strategically prioritize your tasks and focus on task that will free up your time and give you the freedom in the day to complete most of your tasks and operations

Remember before you outsource your work and delegate tasks always evaluate what you need to take on and what you can give on to others within your business organizations.

Most business even go the extra mile and create a Priority Chart and divide the chart into 4 columns.

P1 – Most Urgent Priorities

P2 – Priorities that need to be accomplished with equal or low relevancy

P3 – Tasks that have a waiting period

P4 – Future tasks and responsibilities

You will end up noticing is that as long you keep working on your urgent priorities you will create a cycle of tasks that work in a circular motion. This will get you focusing on all tasks but in an organized format.
